Site brief
Supply a location plan, proposed installation positions and the existing site equipment list. Ask what additional site information is needed to review the station arrangement.
Information path
Describe where the received information must be displayed, stored or passed onward as your project requirements. Request the proposed output and connection documents for review against that system.
Assessment scope
Give the project reviewer your required operating area and acceptance questions. Ask for the proposed station configuration, installation conditions and the documents needed to assess the site-specific plan.
Preserve site assumptions
Record which site information was supplied with the station inquiry and identify what remains unknown. If the proposed installation position changes, send the revised site sketch. Ask the supplier to clarify its proposal against that sketch and have the project reviewer decide what further site information is needed before choosing the arrangement.
Build the enquiry around the proposed coastal site
Identify the coastal site and describe the task the buyer wants the station proposal to support. Provide a site sketch, photographs and the facilities your team can document. State where the intended operator would receive or view information and who is responsible for the site review. Ask the supplier to explain the proposed station scope against that information. Keep desired service area and operating arrangements as requirements for discussion, and request the basis for any proposed assessment rather than treating an equipment title as a coverage result.
Prepare a site information list covering the proposed equipment location, available services and access arrangements that your project team wants reviewed. Ask the supplier which additional site details are needed before its installation proposal can be assessed. Where other equipment is already present, identify it and provide the relevant current documents. Distinguish confirmed site information from planned changes. Have the site representative resolve discrepancies in the brief before comparing proposals, so differences between quotations can be discussed against a consistent picture of the intended coastal location.
Request an itemised description of the proposed station equipment and any connections to the buyer's receiving or monitoring arrangement. Ask for the interface and installation documents relevant to each connection. If the buyer expects information at a separate operating location, explain that requirement and request a description of the proposed handover point. Keep unresolved system questions visible for the project reviewer. Do not assume that the equipment quotation includes site works, associated equipment or integration tasks unless the proposed scope identifies those items and their responsibilities explicitly.
For proposal acceptance, define the information your project reviewer needs from a site assessment or demonstration. Ask the supplier to identify the conditions and equipment arrangement relevant to its response. Retain the site brief and proposed configuration with any review results, and separate observed results from requirements that remain unassessed. If the location, surrounding arrangement or information destination changes, request a revised response to the affected questions. Keep the purchasing decision attached to the actual site scope reviewed rather than extending it to other coastal locations without their own assessment.
If the proposed coastal site includes facilities that are still planned, label them clearly in the site brief. Ask the supplier to distinguish its assumptions about those facilities from information already confirmed by your site team. Retain that distinction in the quotation review so the equipment scope can be reassessed if the available site arrangement changes before selection.
