Host drawing
Provide the available mechanical envelope, mounting references and required connection positions. Identify constraints from the host equipment that the proposed board must be reviewed against.
Board documentation
Request the outline drawing, power requirements and interface definitions for the proposed board version. Ask which documents are needed to connect that board to your host design.
Validation file
Define the functions and checks your integration reviewer needs to evaluate. Request the corresponding setup and test information, then retain the board version and document references with the sample review record.
Keep host and board changes aligned
When the host design changes, mark the affected dimensions or interfaces in the board inquiry. Ask the supplier to identify the proposed board version and the documents relevant to the change. Have the integration reviewer assess the updated information against the revised host drawing before arranging further sample or project checks.
Define the board's proposed place in the host design
Describe the buyer's intended host equipment and the task the proposed board would need to support. Supply the design information your integration reviewer considers necessary, with current revision references. Ask the supplier to identify the board being proposed and the documentation available for that particular version. Keep the buyer's requested functions as requirements for discussion rather than interpreting a board category as confirmation of them. Identify which host design decisions remain open so the supplier's response can be assessed against the actual integration brief rather than an assumed finished product.
Request the mechanical and connection information your reviewer needs to assess the proposal in the host arrangement. Ask the supplier to identify which drawings and interface descriptions apply to the quoted board. If accessories or additional components are proposed, request their references and documents separately. Do not infer connection details, component capability or dimensions from a photograph or a familiar board description. Keep unclear items on a query list and have the responsible design reviewer identify the information needed before selecting the proposed arrangement for further integration assessment.
Discuss the proposed evaluation scope before treating a sample as an approved design component. Ask the supplier which documentation accompanies the sample and which version it represents. Have the buyer's reviewer define the observations or document checks needed for the intended host, and record what configuration any assessment covers. Keep practical integration work with the responsible team using the applicable documents. If the host design changes during review, update the brief and identify which earlier questions or observations need reconsideration rather than assuming the original sample decision covers the changed arrangement.
Before a purchasing decision, connect the board reference, host revision and supplier responses in the same review record. Ask for clarification of exclusions and information not supplied with the proposal. Retain the document revisions and any accepted departures so the receiving team can distinguish the selected board from alternatives. If a replacement board is offered, request its applicable drawings and interface information and repeat the affected review. Keep board selection separate from approval of the complete host product; unresolved host requirements should remain with the responsible design reviewer and should not disappear into a component quotation.
If the host design team issues a revised drawing during the enquiry, identify the changed areas and ask which supplier responses need updating. Retain the board version with that revision record. Have the reviewer compare any alternative board against the current host information rather than relying on an earlier response prepared before the integration requirements were changed by the buyer.
