AIS buoy battery documentation

AIS buoy battery documentation should identify the proposed power arrangement and the information needed to maintain it. Request the documents for the specific buoy proposal.

Home / Guides / AIS buoy battery documentation

Power configuration

Ask the supplier to identify the battery or power arrangement included with the proposed buoy. Request its specification and the equipment version to which that document applies.

Operating assumptions

Describe the deployment schedule and environmental conditions your reviewer needs to assess. Ask for the conditions behind any operating-duration statement in the proposal and request clarification where those conditions differ from your brief.

Maintenance file

Request handling, charging or replacement instructions applicable to the proposed configuration. Identify the maintenance task your operator needs to carry out and ask what equipment and documents that task requires.

Retain power document references

Ask for the power arrangement and maintenance instructions to be identified against the buoy version in the proposal. If a different battery or power configuration is offered, request the corresponding documents separately. Keep your deployment requirements with the file so the reviewer can assess that configuration without transferring assumptions from the earlier proposal.

Organise the power information by proposed configuration

Request the power description for the particular buoy version being quoted and ask the supplier to identify the document revision that applies. Provide the deployment and retrieval pattern your team wants the power proposal assessed against. Keep the buyer's planned use separate from the supplier's description of the offered arrangement. If alternatives are proposed, give each its own document entry rather than combining their characteristics into a single equipment description. Ask the reviewer to mark information that is missing before comparing the alternatives on price or a general power label.

Ask for the assumptions associated with any duration statement in the response. Request clarification of the configuration, settings and operating conditions to which it refers, and explain where the buyer's intended routine differs. Treat the answer as information about that proposal, not as a promise for other arrangements. If the supplier offers a different power option, request its separate specification and instructions. Do not infer the contents of the quotation from a photograph of another buoy or reuse a document merely because its product name appears similar to the item offered.

Describe who would handle the buoy between deployments and what maintenance tasks that person needs instructions for. Ask for applicable handling, storage and any proposed charging or replacement guidance, with the relevant equipment and responsibilities identified. Where a task is unclear, refer it to the responsible reviewer and request clarification before adopting a procedure. Keep this document review separate from physical maintenance work. Ask which instructions would accompany the supplied equipment so the operator can use the documents for the actual configuration rather than relying on a general purchasing summary.

Before approving the power arrangement, compare the quotation, buoy identification and maintenance file. Mark any differences between the reviewed sample and the proposed supply, and ask for updated documentation where needed. Keep the selected configuration linked to the deployment assumptions used in the review. If the buyer changes the operating routine or the supplier proposes a substitute power arrangement, revisit the affected questions rather than carrying forward the earlier decision. Give the maintenance team the final document references and unresolved points so the purchasing approval does not hide a missing instruction or an unassessed alternative.

If the deployment team and maintenance team are different, ask both to review the power document questions relevant to their tasks. Keep their comments attached to the same buoy configuration. Resolve any mismatch between the intended operating routine and the proposed maintenance instructions before accepting a revised power arrangement or passing the final purchasing description to the receiving team.
